In October, we walked through the way to set up a new account in Microsoft Dynamics GP. Now that you have set them up, how can you be sure you didn’t make any errors? Well, you can use SmartLists to figure it out quickly and efficiently.

Go to SmartList >>Financial >> Accounts

Search for all Accounts with a Posting Type of Balance Sheet, and an Account Type of Posting Account.

Choose to display the Account Number, Account Description, and Posting Type columns.

Save the SmartList as a Favorite called Balance Sheet Accounts.

Re-sort the SmartList (decending) by Account Number to easily identify the Accounts that don’t belong. Double-click on the Account to open Account Maintenance and change the Posting Type.

Repeat the process for P&L Accounts.

Entering new accounts in Microsoft Dynamics GP can be a tedious, manual task, but there are ways to streamline this process. One of the best ways to do this is to set up Account Segment Descriptions. By setting these up ahead of time, when you enter a new account and assign it an account segment, the account description will auto-populate. Here is how you can make this happen:

Tools >> Setup >> Financial >> Segment

Enter a Description for each Segment ID, including the Account Segment.

The Account Description is populated by the Description for each of the Account Segments.

Whether imposed by a government organization or an internal company directive, compliance regulations have a major impact on your business processes and data management. Complying with and easily auditing the data around these regulations can be a daunting task if not handled efficiently.

The Audit Trails and Electronic Signatures functionality of Microsoft Dynamics GP can help you improve your regulatory compliance while reaping these additional benefits:

Keep your database size manageable and clutter-free – If your business systems are tracking and storing history on too many processes, your database can become large and cluttered very easily. Instead, Audit Trails can be activated on just those areas of the system that are required by your regulators or business needs, enabling you to more easily maintain your database and report on the data it contains.

Improve data quality while saving time – Even if you are using tools like Microsoft Office Word or Excel, if you are using manual methods to fulfill compliance processes, you are losing valuable time, increasing your risk of errors and making accurate and timely reporting more of a challenge. When you use Audit Trails, your auditing processes take place automatically in the background, freeing your people to perform business processes more efficiently without having to stop to manually capture change history or enforce paper-based controls.

Meet data storage requirements easily – With Audit Trails, you can fulfill your requirements to store change history information for a given period of time both online and offline. You can also automate the process of moving data offline which saves time and reduces the potential for error. Audit Trails help you implement strict controls over your data and enable you to separate your change history from your live data which improves your overall data management while enabling you to meet requirements.

Efficiently retrieve regulated information – In order to provide information to regulatory auditors in a timely manner, it needs to be well organized and properly stored. The longer it takes to produce regularly requested data, the more skeptical of the data accuracy regulators may become, leading to costly and time-consuming audits. Audit Trails streamline your data processing, storage, and reporting functionality so that you can build the trust of regulatory auditors by delivering the information they regularly request quickly and correctly.

Enable timely preventative controls– If handled manually, preventative controls required to prohibit unauthorized changes to your business data can be a hindrance to productivity. Electronic Signatures automates the process for gaining approval or authorized signatures through alerts and enables online approvals that can be granted anytime and anywhere to keep business processes running smoothly.

While regulatory compliance requirements will never go away, the headaches they cause can with Audit Trails and Electronic Signatures functions in Microsoft Dynamics GP.

As consultants and salespeople focused on Dynamics GP, we spend a lot of time explaining the difference between a Full-Access User and a Light User. The conversations often focus on a particular capability: “What license do I need if I want to <fill in the blank>?” While this approach is helpful in addressing a specific need, it doesn’t go very far in communicating the real value of the GP Light User.

Let’s start with a basic definition of each type of user:

Dynamics GP Full-Access User – This user has a GP login and is entering and processing data inside of GP. As long as they are logged in, they can make use of all of the Light User capabilities. They are the “users” of GP.

Dynamics GP Light User – The Light User does not need a GP login. They are accessing and sometimes entering (but not processing) the data through an interface other than the Dynamics GP client. They are the “consumers” of the data that is entered and processed by the GP “users”.

With these definitions in mind, let’s take a look at how different user roles might interact with information in Dynamics GP using a Light User license. (All of the capabilities mentioned require appropriate security access.)

An Accounts Payable Clerk is a “user” of Dynamics GP. They spend their day entering and updating vendor information, processing payables invoices, and generating checks. But they can also take advantage of some Light User capabilities as well. A Light User license will allow the Accounts Payable Clerk to submit a purchase request through Requisition Management.

Organizations using Dynamics GP Human Resources or Human Resources and Payroll can give their employees self-service access to Human Resources and Payroll related data by implementing the Human Resources Self Service Suite (HRSSS). HRSSS utilizes SharePoint to allow users to view and print their pay check history, change address and dependent information, and request time off.

The Marketing Manager is responsible for creating marketing collateral and managing marketing campaigns. Chances are they will never have a reason to enter or process data in Dynamics GP. But that doesn’t mean that they can’t view the data that’s relevant to their role. A Marketing Manager may want to analyze sales, which can be accomplished in a number of ways with a Dynamics GP Light User license. On demand reports can be generated using Excel Reports or SQL Reporting Services. The Manager may also wish to view Key Performance Indicators from Business Portal or SQL Reporting Services. Using the Sales cube in Analysis Cubes for Excel, the Marketing Manager would be able to quickly maneuver through sales history to identify areas where they may wish to focus their efforts. And of course, they can access their Human Resources data, submit purchase requests, and approve purchase requests submitted by their team. All of these capabilities are included with the Dynamics GP Light User license.

Executives and upper management are typically interested in high level information. The CEO often wants to see a flash report with a summary of weekly results by department or business unit. The COO may wish to see similar information for sales or production. The CFO may be interested in monitoring cash flow or may need to approve large purchase orders before they can be submitted to the vendor. And they all want to review the financial results at the end of every month. All of these requirements can be met by providing the Executives with a Dynamics GP Light User license. As with the Marketing Manager, the Executives may wish to analyze data on demand in Excel, SQL Reporting Services, or in Business Portal. The Light User license will provide them with access to the Management Reporter Viewer where they can view financial statements and drill into transaction level detail. They can even submit approvals for Dynamics GP Workflow tasks through Outlook or SharePoint.

The accounting department is often charged with running and distributing printed reports to others in the organization. Take a minute to evaluate whether it might be more efficient to allow those “consumers” of the information in GP to take advantage of a Light User license and access the information on demand.

Who needs a Dynamics GP Light User License? EVERYONE!

For more information or to get a price quote on acquiring Dynamics GP Light User licenses, contact your Socius Account Manager.

One of the greatest benefits of Microsoft Dynamics GP 2010 is that it can extend connections between both people and systems. One way it accomplishes this is through the 350 Web Services that it makes available “out-of-the-box”. Unless you are a developer, you may not know what Web Services are or how they should factor into your decision to purchase a Microsoft Dynamics GP solution.

Many people confuse web services with web pages. They are not the same thing. A web service is exactly that, a service. It is available to serve the calling program with the data and functions necessary to interact with the underlying database without giving the caller direct access to the tables themselves. This ensures that the proper updates and data relationships are maintained and shielded from the caller, handling the details behind the scenes.

A Web Service is technology which allows a programmer to interact with an application using a standard, previously agreed upon method via the web. Therefore, Web Services technology allows the programmer to connect external applications to and from Microsoft Dynamics GP in a more standard/common way that offers more flexibility and scalability for process customizations and extensions.

Because Web services integrations in GP 2010 no longer depend on Microsoftâ Internet Information Services (IIS), there is no need to buy separate servers, which greatly simplifies infrastructure and reduces IT management costs.

With so many Web Services available with GP 2010, your customization options are extremely broad and cost effective. To speak with a Socius customization expert, contact us today!

With SmartList Builder, the possibilities are endless, but we’ve compiled a list of our top 10 favorite advantages.

Microsoft Dynamics GP SmartLists have always enabled users to organize and display data from the accounting system in a way that makes sense to them, and users then search those records according to specific criteria.

SmartList Builder in Microsoft Dynamics GP 2010 takes the popular, easy-to-use SmartList tool and increases its power and range. Now you can query more data in more ways, because SmartList Builder gives you access to all the information that you capture, enabling you to create your own custom SmartLists.

With SmartList Builder, the possibilities are endless, but we’ve compiled a list of our top 10 favorite advantages:

10. You can combine multiple tables to go beyond basic SmartList data

9. You can create calculated fields

8. You can use more than FOUR search criteria in RESTRICTIONS

7. You can summarize data-group and count and total, oh my!

6. You can create your own go-to’s

5. You can connect to other data sources leveraging SQL, Data Connections & Extender Resources

4. You can use data from multiple companies in the same SmartList

3. You can duplicate your SmartList with SmartList Builder, Excel Report Builder, or Navigation List Builder

2. You can create pivot tables for non-GP users to access

1. Becoming proficient in SmartList Builder will make you look like a genius among your peers!

Take the first step to becoming proficient in SmartList Builder by attending a complimentary webinar on December 8, 2010.

If you are using an ERP or CRM solution, then you’ve seen first-hand how that software benefits your day-to-day business and helps your organization grow. Your ERP and CRM software investment is something that should be protected because it can be a source of tremendous value for your company. One of the easiest ways to do this is to make sure that you renew your annual software service plan (called ClientCare Support Plans for Sage ERP clients).

We know that in tough times, these annual support fees can seem like a good place for businesses to cut back. However, if you do not renew your Microsoft Dynamics or Sage service and support plan, you could be paying a much bigger price by missing out on all of the benefits of these plans that keep your operations flowing effectively and ensure that you get the most value from your software!

7 Service Plan Benefits:

Receive Product Updates, Upgrades and Service Packs - Maintain the reliability and performance of your software with all new version releases, minor updates, fixes and enhancements. For Microsoft Dynamics GP users, this includes the much anticipated release of GP 2010 (formerly known as GP 11) this spring!

Unlimited Access to Online Resources - Both Microsoft Dynamics (CustomerSource) and Sage (Sage Software Online) provide online portals where users can access everything you need to know about your product including personalized service information, downloads, documentation, discussion boards, news and other features.

Knowledge Base - Microsoft and Sage support professionals provide answers to technical questions in these online resources that are available anytime. The Knowledge Base helps you help yourself by finding the fixes to issues that other users have had without contacting support.

Unlimited Online Training - Having easy access to training is especially important at a time when employee turnover is high, enabling existing employees to use your ERP or CRM system smarter and getting new employees up to speed quickly and easily. Microsoft Dynamics users can take advantage of free unlimited access to 24×7 e-learning, training manuals and other productivity-enhancing training resources. Sage users can access Sage Software University for both online and in-person training opportunities anytime.

Product News Delivered to Your Desktop - Regularly receive news and information about your solution directly from Sage or Microsoft.

Purchase New Modules and Users - When your business is ready to grow and you need to add more users or new functionality through additional modules, you will need to be on a current plan in order to make those purchases. Additionally, Microsoft offers a full license credit toward a move to any other Microsoft Dynamics Financial Management or Supply Chain Management solution for customers on a current plan.

Electronic or Telephone Support - If you have an urgent need, you can contact knowledgeable and responsive technical support teams by phone or email (not available on the Sage Subscription Plan).

There are many additional benefits to staying current on your plan that your Socius Account Manager can share with you!

If you have let your service plan lapse, now is the perfect time to renew it! Both Microsoft and Sage are making it easier than ever to get back on your plan and begin reaping these benefits.

Microsoft is offering up to 20% off your next user, module or transition to BRL license purchase if you re-enroll before June 25, 2010! Re-enrollment Microsoft Dynamics pricing applies, and the discount is based on your tenure as an Microsoft Business Solutions customer.

Contact Lisa Smith to learn more!

Sage MAS 90 and 200 customers who are off plan can upgrade to version 4.4 or migrate to Extended Enterprise Solution and save 20% on either lapsed plan fees or add-on modules.

On or Off plan Sage MAS 90 clients are eligible for the following offers:

Upgrade from a version 3.71 Value Plan to version 4.4, OR migrate to EES and receive a $1,000 reinstatement credit.

If you own a CRM system, you can trade it in and save 25% on a migration to EES!

Looking for some quick tips to enhance your use of Microsoft Dynamics GP General Ledger? Here are a handful from two of Socius' Great Plains consultants. Learn about duplicating Journal Entries, checking posting types, speeding band transfers, getting consistent account descriptions, and more!

Jeff Smith, Socius’ Columbus Microsoft Dynamics GP Senior Consultant, and John DeHaven, a Cincinnati Microsoft Great Plains consultant for Socius, presented these intermediate tips for GL as part of their “Getting More out of Dynamics GP: 50 Tips in 50 Minutes” presentation at Aspire, Socius annual conference.

Duplicate a Journal Entry

Use the Correct Journal Entry info to create a reversing Journal Entry and a new copy.

Delete the reversing entry. Now you have a perfect copy that can be adjusted as necessary.

Details here: http://msdynamicsgp.blogspot.com/2008/11/weekly-dynamic-duplicate-journal-entry.html

Check Posting Types before Year End

It’s important to validate that Posting Type (Balance Sheet or Profit & Loss) is correct at year end. A simple SmartList can show items in the wrong Posting Type. Use the search feature to limit account numbers to Balance Sheet numbers and set Posting Type to Profit and Loss. This will show misclassified Balance Sheet Accounts. Reverse to show misclassified P&L accounts.

Speed Bank transfers with a Macro

Bank transfers are often repetitive with only the date and amount changing (from operating to payroll, from money market to operating, etc.) They offer a great starting point to learn about GP Macros.

Details here: http://msdynamicsgp.blogspot.com/2005/11/weekly-feature-macro-basics.html

Get Consistent Account Descriptions

Don’t setup accounts first, setup Segments in Tools->Setup->Financial->Segment.

Creating accounts will then auto populate the description based on the Segment descriptions. This gives consistent chart descriptions and a warning when a segment doesn’t exist.

Reconcile Bank Account Daily

With today’s internet access, there is no reason not to balance the bank account daily. Daily balancing provides up to date cash position, float information and speeds month end processing since bank balancing is simply one more day. Download your bank info from your bank’s website. Start a bank reconciliation and reconcile it to zero. DON’T push the reconcile button. Save the reconciliation and come back tomorrow.
